What information do we collect?

We collect Personal Data and Anonymous Data from you when you visit our website(s) or send us information or communications. “Personal Data” means data that allows you to be identified, such as your name, address, telephone number, e-mail address, and any other information linked or linkable to you. “Anonymous Data” means data that is not linked to your Personal Data and does not identify you.

How we collect personal data

Contact information

You may give us your contact details when you use our services, complete a form on our website, speak with our team, or respond to a newsletter, feedback form, survey or voting request. If you register or make an enquiry through our website, we will normally collect your first and last name, phone number and email address.

Usage information

We collect information about how you interact with our website(s) and services, including which pages you visit, what you click on, when you take those actions, and your device or language preferences.

Billing information

If you make a payment to us, we require billing details — name, address, email address and financial information corresponding to your chosen payment method (for example, a card number and expiry date, or bank account details).

Information from third parties and integration partners

We may collect personal data about you from third parties where you have given them permission to share it with us, or where you have made it publicly available online — for example, if you submit your details to a venue search website that features us.

Social media

If you interact with our social media accounts, we may collect data relevant to that platform, such as your username, handle, profile picture and any information you have chosen to make public there.

Information you give us voluntarily

We also collect personal data you provide voluntarily — for instance, when you make a purchase or booking, respond to a survey or questionnaire, or enter a competition. If you give us feedback by email or via a feedback form, we may store this securely for periodic review. You are always free to decline to take part in a survey.

How we use your information, and our legal basis for doing so

Under UK data protection law, we must have a valid legal basis to use your personal data. We rely on the following:

  • Performance of a contract — to plan and deliver your event, stay, booking or Elmore Wild experience, and to communicate with you about it.

  • Legitimate interests — to run and improve our business, understand how our website and services are used, and to keep records for our own management and administrative purposes, provided this does not override your rights and interests.

  • Consent — where you have opted in, for example to receive marketing emails or newsletters. You can withdraw consent at any time.

  • Legal obligation — where we must use or keep data to comply with the law, for example accounting and tax records.

We use your personal data to provide our services to you, including the preparations for and delivery of your event, stay or visit and the communications this requires (generally by email, phone or in person). We may also send you newsletters, customer service messages, and updates about our services or venue, and respond to your requests.

We may create Anonymous Data from Personal Data by removing identifying details such as your name. We use this Anonymous Data to understand trends and behaviour across our customers, which helps us plan for the future of the business.

Do we share your personal data with other organisations?

We share your personal data with trusted third-party suppliers who need it to interact with you during the planning of your event — for example a florist, photographer or make-up artist. These suppliers are only permitted to use your data to provide the services we have asked them to provide, and must have appropriate security measures in place to protect it.

Where we plan and host an event on your behalf, we will ask for your consent to share your personal data with our contractors and relevant third parties. Other than as described in this policy, and where you have given consent, we do not sell, trade or rent your personal data to third parties, and we will never sell your personal data.

If you send us a testimonial or comment, or post one elsewhere, we may publish it on our website or use it in our advertising and social media, attributing it to your name where provided.

If our business, or its assets, are acquired by another organisation, that organisation will take on the personal data we hold and the rights and obligations described in this policy.

How long we keep your data

We keep personal data only for as long as necessary for the purposes set out in this policy, including to provide our services, meet our legal and accounting obligations, and resolve any disputes. Where you have asked us to stop contacting you, we may keep a minimal record of this to ensure we honour that request. You remain responsible for keeping the contact details you give us up to date.

Where your information is processed and stored

We are committed to protecting the security of your personal data and use a variety of industry-standard security technologies and procedures to help protect it from unauthorised access, use or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Our business can be accessed globally via our website and email, so your personal data may be processed both inside and outside the United Kingdom. Where your data is transferred outside the UK, we take steps to ensure it receives an equivalent standard of protection, in line with UK data protection law (the UK GDPR and the Data Protection Act 2018).

Your rights over your personal data

Under the UK GDPR and the Data Protection Act 2018, you have the right to:

  • Access the personal data we hold about you.

  • Have inaccurate personal data corrected, or incomplete data completed.

  • Ask us to erase your personal data in certain circumstances.

  • Ask us to restrict the processing of your personal data in certain circumstances.

  • Object to us processing your personal data where we rely on legitimate interests.

  • Request a portable copy of personal data you have provided to us, in certain circumstances.

  • Withdraw consent at any time, where we rely on consent to process your data.

We do not normally charge a fee to deal with these requests. We may need to ask you for specific information to help confirm your identity and ensure your right to access the data (or exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.

Cookies and analytics

Our website uses cookies to distinguish you from other users, to help us provide you with a good experience when you browse our site, and to help us improve it. We use Google Analytics to understand how visitors use our website — for example, the pages viewed and the journey taken through the site. This information does not identify you personally.

Marketing communications and opting out

When you contact us, you may be added to our mailing list, which we currently manage using Hubspot, and you may receive emails from us as a result. You can opt out of marketing communications at any time by using the unsubscribe link in any email you receive from us, or by contacting us directly at life@elmore.estate. If you contact us by email to opt out, please include your full name and address so we can process your request.

Opting out of marketing does not affect service communications we need to send you, for example about a booking or event you have made with us.

Social media and other third parties

We work with trusted third parties, including social media platforms such as Facebook, Instagram, TikTok, Twitter/X, Pinterest and YouTube, and may use these to generate interest in our services among your networks and to allow you to share your interests with friends. We do not control how these third-party sites collect, store, use or share your data. Please review the privacy policies and settings of any social network you use to understand how they handle your information; we are not responsible for how third parties use data collected from or about you through their own platforms.

Other websites

Our website may include links to other websites. Use of these links is at your own risk; once you leave our site, this policy no longer applies, and it is your responsibility to review the privacy policy of any other website you visit.

Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised or unlawful processing, and against accidental loss, destruction or damage.

Changes to this policy

We may update this Privacy Policy from time to time, for example to reflect changes in our practices or for legal or regulatory reasons. Where we make material changes, we will post the updated policy on our website with a new “last updated” date. We encourage you to review this page periodically.

Complaints

If you have any concerns about how we handle your personal data, please contact us first at life@elmore.estate so we can try to resolve this for you. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or by calling 0303 123 1113.
